Social Desk Mailbox · last updated 21 October 2026
Social Desk Mailbox ("the app") is a private tool used by one person, the owner of the Freerun brand, to monitor the brand's own Gmail inbox. It is not available to the public. This policy explains what data the app accesses, how it is used and how it is protected.
Data the app accesses
When the owner connects the brand's Google account, the app asks for one permission only: read-only access to Gmail (https://www.googleapis.com/auth/gmail.readonly). Using that permission it reads, for each recent message, the sender, the subject, the date, the read/unread status and Gmail's short text preview (the "snippet"). It does not download full message bodies or attachments.
How the data is used
- To sort recent messages into simple categories (security alerts, policy notices, business enquiries, platform mail, other) and show the owner a short summary.
- To alert the owner when an important message arrives. Alerts that leave the owner's computer, such as a message to the owner's own phone, contain only a short subject and preview with any verification codes removed.
- To let the owner, on request, ask an AI assistant running for the owner a question about a recent message. The data is used only to answer the owner's question.
The app does not send, reply to, delete, label, archive or draft email, and it never opens links or enters codes on the owner's behalf.
Storage and retention
The app runs on the owner's own computer. Message summaries are stored there, in files only the owner can access. Verification and security codes found in messages are kept for 24 hours so the owner can read them, then deleted. The login token that lets the app read the mailbox is stored on the owner's computer and nowhere else. The owner can revoke access at any time at myaccount.google.com/permissions, which stops the app immediately.
Sharing
We do not sell Gmail data, share it with third parties, use it for advertising, or use it to develop, improve or train artificial intelligence or machine-learning models. Nobody other than the owner, and the assistant the owner asks about a message, sees the data.
Google API Services User Data Policy
The app's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Changes
If this policy changes, the new version will be posted on this page with a new date.
